POCA Events and Workshop Cancellation and Refund Policy
POCA requires a minimum of 10 attendees per workshop / class. Two weeks prior to workshop date if 10 participants are not registered the providers can cancel the workshop and registrants will receive 100% refund for their workshop fees. If 10 or fewer participants are registered for a POCA event, the providers can decide to hold the event anyway.
Participants are solely responsible for any travel or lodging expenses. Travel insurance or checking on airline and hotel cancellation policies are the responsibility of the participant. No reimbursement will be offered to participants for their travel or lodging expenses
Workshop providers will be solely responsible for space rental fees or deposits, and their own travel or lodging expenses, in the event of a workshop cancellation.
POCA Fest breakout sessions may in certain instances be cancelled due to unforeseen circumstances. Programming for POCA Fests is subject to last minute changes and alternatives will be offered.
Refund Policy must be clearly stated on all POCA events listing and promotional materials. Event participants will be notified about cancellation and refund policy upon completion of registration and payment.
All POCA workshops and POCA Fests require pre-registration with payment in full with the following refund schedule:
up to 30 days prior to workshop- 100% refund
29 to 14 days prior to workshop- 50 % refund
13 days or less- no refund unless cancellation is due to low registration, then 100% of registration fees will be refunded.
Refunds will be issued within 30 days and will be processed by workshop providers in the case of POCA events where providers handle registrations, and by POCA in the case of POCA Fests or other POCA events where POCA handles registrations.
When a workshop is cancelled:
If within 2 weeks of workshop dates because of low registration- 100% of registration fees will be refunded and providers are encouraged to offer a discount to a future POCA workshop.
In the instance of a cancellation that occurs last minute (less than 2 weeks before class) because of factors beyond control: weather, family emergencies, or illness, POCA will make its best effort to find a suitable substitute to teach a class in these instances.
When canceling a workshop, the providers or POCA will send workshop cancellation notice by email and follow up by a phone call to each participant.
